When a class fills up, the waitlist is where the next people queue. This article covers the three things you'll actually do with it.
Adding someone to a waitlist
Adding happens on the Calendar, not the Waitlist page. Open the full class on the calendar and use Add to waitlist there. The Waitlist page has no Add button — it's a view of the queue, not a place to join it. This trips people up regularly, so it's worth remembering.
Seeing the queue
The Waitlist page shows the current queue: who's waiting, for which slot, and in what order. This is the page to open before you make any decision, so you're acting on the live queue rather than what you remember from this morning.
Promoting someone into the class
Promoting books the waiting client into the slot they asked for. It goes through the exact same booking path as any other booking — the same capacity checks, the same conflict checks, the same calendar guards — and then marks the waitlist row as booked. You can choose which package pays for it and which instructor it's assigned to, just like a normal booking.
Two things to know:
- Only entries still in the waiting state can be promoted. An entry that's already booked or removed is done.
- Any client notification rides the normal booking consent gates. Promotion doesn't send a message directly; it books, and the booking's usual notification rules apply.
Because promotion is a real booking that can text a real person, it stays with you rather than happening automatically.
Removing an entry
Removing drops the client from that slot's waitlist. It's safe to run twice — removing an already-removed entry does nothing — and it never messages the client. If you want them to know they're off the list, tell them yourself.
Common questions
Does the waitlist promote people automatically when a spot opens? No. Promotion is something you do. That's why the queue is worth checking after any cancellation on a full class.
Someone was promoted but says they got no confirmation. Promotion books through the normal path, so the client's usual booking notification settings and consent state apply. If they aren't opted in to texts, no text goes out.
