Booking, rescheduling, and cancelling appointments

This is the everyday work: putting someone in a class, moving them, taking them out, and putting them back. Everything here runs through the same booking service the dashboard uses, so the rules are identical whether you click it or ask Becky for it.

Booking a client

A booking needs a client, a class type, a date, a start and end time, and — for multi-instructor studios — an instructor. Then you decide how it's paid for:

  • From a package. Pick the package. The credit is deducted.
  • Unpaid. Book it now, settle later.
  • From account credit. This spends the client's banked dollar balance — money from a package cash-out or an overpayment. If the balance doesn't cover the class price, nothing is booked at all; you'll be told rather than left with a half-done booking.
  • From a partner's account credit. If the client has no balance but someone in their partner or household group does, the first attempt fails and tells you whose money it would have been. That's on purpose — spending someone else's balance is a separate, explicit decision. Only after you say yes does it go through.

You can also add a guest to a booking, and you can book a recurring series by giving a count, a start date, and any dates to skip.

Recurring series don't fail silently. If some dates in the series can't be booked, you get every skipped occurrence and the reason for each. Never assume the whole series landed just because part of it did.

Bookings send the normal booking confirmation to the client.

Rescheduling

Give the appointment and the destination date and time. The move runs through the same conflict, capacity, instructor, and calendar-sync guards as a new booking, so a bad destination is rejected rather than forced. The client may get the standard reschedule notification.

Cancelling

Before cancelling, check whether the class is inside your studio's cancellation window.

  • Outside the window — a free cancellation. Package credit is restored where it applies.
  • Inside the window — a late cancellation. That charges the session.

Cancellation propagates to your calendar and to client notifications, so confirm before you do it.

One important detail: a cancellation only counts if it durably saved. If the change didn't persist, the class is not cancelled — don't tell the client it was.

Restoring a cancelled appointment

A cancelled appointment can be put back to active. Restoring re-checks client conflicts and slot capacity and re-syncs package credits, and the client may receive the normal booking notification. Only cancelled appointments can be restored.

Common questions

Can I book a session that already happened? Not through the normal booking flow — past sessions use the retroactive appointment path instead.

A booking failed and I'm not sure why. The rejection reason from the booking service is the real answer — capacity, a conflict, an instructor clash, or a calendar sync problem. Read it rather than retrying the same booking.
