Your team lives on the Staff page. This article covers adding people and, more importantly, deciding what they can see and do.
Adding and managing staff
From the Staff page you can add a staff member, invite them, disable someone who's left, re-enable someone who's back, and edit their contact details and schedule.
These stay with you in the dashboard rather than happening automatically, because adding or inviting a staff member can send them an invitation — a real email to a real person. Becky will read your current roster back to you, confirm who's who and what roles they hold, and then hand you the page.
The four roles
- Instructor — teaches classes
- Front desk — day-to-day studio operations
- Admin — owner-level access
- Owner — owner-level access
A staff member can hold more than one role at once. Someone who teaches and also covers the desk holds both.
Changing someone's roles
A role change sets the full set of roles for that person, not a difference. If an instructor is picking up front desk duties, the new set is instructor and front desk — not just front desk, which would quietly remove their instructor role.
Check what someone currently holds before you change it. This is exactly the kind of thing that's obvious in hindsight and invisible at the time.
Promoting someone to admin or owner
Adding admin or owner to someone who didn't have it is an elevated grant, and it's treated differently from other role changes. It hands them full owner-level access to:
- Billing
- Staff management
- All client data
Before that happens you're asked to confirm that specific consequence in plain language — not a generic "are you sure?", but the actual sentence: this gives them full access to billing, staff, and all client data. You have to say yes to that.
Ordinary role changes — adding or removing instructor or front desk, or removing admin or owner from someone — just need the normal confirmation.
The last owner is protected
You cannot remove the owner role from your studio's last active owner. The system refuses and explains why. There's no configuration in which a studio ends up with nobody who can administer it.
Common questions
I removed a role and they lost access to something else too. Roles are a set, and a change replaces the whole set. Re-add the roles they should have, all in one go.
Someone left — should I delete or disable them? Disable. Their history stays intact and they lose access. You can re-enable them later if they come back.
